Award winning Estate Agency Group require P.A to assist their M.D.
The M.D has a very busy role running the Company but also retains other general responsibilities within this large Estate Agency Group. His P.A will provide a wide range of support functions some of which are summarised below.
With large numbers of incoming e-mails on a daily basis the P.A will filter those that need to be brought to the M.D’s attention and deal with the remainder on his behalf. Some are from internal members of staff whilst others come from external clients and service providers.
You will be provided with information of a particular role, prepare the relevant copy, update the vacancy section of our website and notify pre-selected recruitment agencies. As applications are subsequently received the PA will conduct basic pre-screening, arrange interviews for those considered suitable and correspond with others whose application is not to be progressed any further, the internal recruitment database will need to be kept up to date on an ongoing basis.
Once candidates have been successful in securing a position with our company then formal Offers of Employment and other related documentation will need to be prepared and numerous internal procedures associated with our employment process undertaken.
Throughout their career an employee’s remuneration package, working location and general terms and conditions may change and in such cases there will be additional correspondence and related internal administration procedures to follow.
All personnel records are retained on a SAGE database so working knowledge of this or similar product would be advantageous.
Every week, month and quarter our sales teams submit statistical information which needs to be collated and processed correctly. Fear not - we do not seek an Accountant or someone with exceptional mathematical capabilities but instead just the ability to make sense of basic figure work and record it accurately onto internal spreadsheets.
The M.D runs a number of internal training courses for staff from initial Induction to more specialised sessions. To assist him he uses PowerPoint presentations and the P.A will be responsible for converting the basic course content into a professional format suitable for delivery.
Relevant delegates will need to be notified and booked on specific courses. Most are internal but some take place externally and the P.A will coordinate this.
Arranging lots of internal and external meetings, booking meeting rooms and refreshments where considered appropriate and coordinating some travel.
